Changing a WordPress user's role adjusts their capabilities while keeping the account and its content attribution. Review the new permissions and any plugin-specific responsibilities before reducing or expanding access.

01 Define the intended permissions
List the tasks the person should perform after the change. An editor taking over publishing may need a different role from a developer maintaining plugins. Avoid granting Administrator merely because a user cannot find one editorial control.
Check for custom roles supplied by membership, commerce or editorial plugins. A role change can affect workflows beyond the default post editor, even when the username and email remain unchanged.
02 Apply the role change
- Open Users > All Users and locate the exact account.
- Review its current role, email and ownership before editing.
- Select the intended role through the user-editing or supported bulk role control.
- Save the change and confirm the updated role in the user list.
- Have the person test the required tasks in a fresh session, or use a controlled test account with the same capabilities.
How do I confirm a role change preserved content ownership?
Check that existing posts still show the intended author. A role change is not a transfer of post ownership. If ownership must change as well, perform that separate editorial action deliberately.
Review access to private content, uploads and plugin administration where relevant. If the user had application passwords or external integrations, consider how the new capabilities affect those integrations and revoke credentials that are no longer needed.
03 Avoid locking out administration
Keep a verified authorised administrator account available before reducing another administrator's role. On Multisite, distinguish site roles from Super Admin privileges; changing one does not necessarily remove the other.
If a plugin behaves unexpectedly after the change, compare the needed capability with the assigned role and consult its documentation. Do not repeatedly toggle roles or share another person's login as a workaround. Record the reason for the final permission choice and review temporary elevated access when the maintenance task is complete.
