Delete, Archive and permanent deletion serve different purposes. With an IMAP account, these actions can synchronise to the server and other devices. Review folder location and business retention requirements before bulk cleanup.

01 Prepare for the change
Identify whether the message is in a server mailbox or a local archive. Choose one unimportant message to test deletion and recovery, then preserve business records before any permanent cleanup.
02 Delete, archive or recover the selected messages
- Select the correct account and folder. Distinguish server folders from a local archive or data file.
- Delete one harmless message and inspect Deleted Items or Trash. Use Archive only when you intend to keep the message in an archive location.
- Move an accidentally deleted message back while it remains available. Check webmail to verify the server copy.
- Empty deleted items only after reviewing required records and backups. Recovery features depend on the mailbox provider and retention configuration.
03 Confirm the expected result
Check both webmail and Outlook to confirm the intended result. If you need to reduce server quota, review all counted folders and allow synchronisation to finish.
04 Example: archive a completed project without losing its history
Before removing messages, decide whether you want them out of the inbox or permanently deleted. Archive is often suitable for completed work you may need to search later. A Deleted folder is not a dependable long-term records system.
Test with one non-critical message. Move it to the intended archive location and confirm that you can find and open it. If the account uses IMAP, compare the folder in webmail so that you understand whether the action changes server-side mail or only a local Outlook file.
Will archiving automatically free mailbox space?
Not necessarily. Moving mail into another folder in the same server mailbox still uses that mailbox's storage. A local archive has different storage and backup responsibilities. Confirm where the messages reside before relying on archiving to solve a quota problem.
Preserve important records before emptying Deleted Items or deleting local data files. Contact us with the mailbox product, account type and quota message when you need storage guidance. We can help distinguish mailbox capacity from an Outlook display issue, but do not assume deleted messages are recoverable without checking the relevant retention and backup options.
If the change does not work
A local PST or other local archive is not automatically part of your hosting backup. Do not delete a profile or local data file until you know where the only copies of important messages are stored.
05 A common question
Can support always recover a permanently deleted message?
No. Recovery depends on the provider, available backups and retention. Preserve needed records before permanent deletion and report a mistake promptly with the account, folder and time.
