Creating a business email signature in Apple Mail

A mobile signature identifies the sender and gives recipients useful contact details. Configure it for the relevant account, especially when a phone holds both personal and business mail. Keep the signature readable without depending on downloaded images.

Check access and requirements

Prepare the approved name, role and contact details for the business account. Check whether your organisation already appends a signature or footer so the mobile version does not repeat the same information.

01 Create a business email signature in Apple Mail

  1. Open Settings > Apps > Mail > Signature.
  2. Choose Per Account when you need a different signature for each mailbox, then find your business account.
  3. Replace the default text with your name, role, company and appropriate contact details. Use plain text for dependable display across mail apps.
  4. Compose a new message from that account and review the signature. Check a reply as well because quoted conversations and existing signatures can create duplicate blocks.

02 Example: a readable mobile business signature

For the business account, replace the device's default text with a compact signature such as:

Code or configuration example
Ada Okeke
Customer Success | Example Company
hello@example.com
https://example.com

Substitute approved details, then compose a new message from that specific account. Send it to an external mailbox and check the received line breaks, link and From address. Repeat with a reply so you can see whether the conversation or a centrally applied footer duplicates the signature.

Expected result: recipients can identify the business without downloading an image, and personal-account messages retain their own intended signature.

Confirm the expected result

Send a test to another email platform and view it on desktop and mobile. Confirm phone numbers, links and line breaks are correct and that the From address matches the signature.

Resolve setup problems

If a signature is missing, check which account was selected when the draft began. If your organisation inserts a server-side signature, ask its administrator how mobile signatures should be configured to avoid repetition.

A common question

Will this change my webmail or desktop signature?

Usually not. This setting belongs to Apple Mail on that device. Configure other mail apps separately unless your organisation centrally applies signatures.
