Creating an automatic email reply in SiteWorx

A SiteWorx autoresponder sends a prepared response when mail reaches its configured address. It can acknowledge an enquiry or explain an absence, but it does not guarantee that a human has reviewed the original message.

Check access and requirements

Decide who will monitor the original mail and whether a copy must go to another address. Keep the response concise and avoid publishing sensitive travel, account or internal contact details to every sender.

01 Create an automatic email reply in SiteWorx

  1. Open Hosting Features > Email > Autoresponders and choose the plus or add control.
  2. Enter the autoresponder address and select the correct domain. Review any existing mailbox or alias using that address before creating overlapping behaviour.
  3. Write the automatic response. Include realistic next steps or business hours without promising a response time your team cannot support.
  4. Use Send Copy To when an authorised destination should receive the incoming messages, and verify that address carefully. Save the autoresponder.
  5. Send a test from an external mailbox and confirm both the automatic reply and any required copy delivery. When the absence or campaign ends, edit or delete the responder.

02 Example: an enquiry acknowledgement

Subject: We have received your enquiry

Thank you for contacting Example Company. This is an automatic acknowledgement. Our team will review your message during our published business hours. If your request concerns an existing order, reply with its reference number. Please do not send passwords or payment-card details by email.

Replace the company name and contact instructions with your real process, then test that the original enquiry reaches the monitored mailbox or approved copy destination.

Confirm the expected result

The reply should identify the correct organisation and give a useful action. Confirm someone can still access the original enquiry where that is part of the workflow.

What should I check when the SiteWorx automatic reply does not arrive?

If a reply does not arrive, check spam folders and delivery errors before adding duplicate responders. Avoid configuring two automated systems to reply to each other. If the service offers a mailbox-level vacation feature instead, choose one clear mechanism rather than enabling conflicting auto-replies.
